Five years of “On Time” Tox Reporting; and still going.
The BASi Toxicology Group in Evansville, Indiana takes great pride in the fact that 100% of our study reports have been delivered on or before the due date for the past five years. This is an amazing accomplishment, to be sure.
The process began seven years ago following an audit from a large pharmaceutical company. During the course of the audit, the subject of reporting timelines was discussed and the questions were posed: "How often are reports issued late?" and "Do you have supporting metrics?" The answers were that we believed we delivered reports "mostly" on time but we had no metrics to support the statement. At that point, we started to develop our process.
The first year, we found that "mostly on time" translated to ~80%, so we then started identifying factors that led to late reports. These factors were addressed in the second year by developing a process that held department managers responsible for milestones for each study. A timeline was set for each study by assigning a number of days to complete each step (histology, pathology, QA, etc.) and a weekly meeting insured that each project was on track. This process improved our on-time percentage to ~90% the second year.
At that point we identified the lack of well-defined timelines and miscommunication contributing to late reports. Then report due dates were added to the quote/proposal to clarify client expectations and BASi commitment, and this step has led to our current process and on-time results which have now been in place for more than five years. That is a definite reason to celebrate.
